Factory Repair, Technical Support & Equipment Evaluation

WaxMelters provides factory evaluation and repair, replacement and retrofit components, guided troubleshooting, and remote technical support for WaxMelters melting tanks, heated process equipment and filling systems.

WaxMelters does not dispatch field-service technicians to customer facilities.

Eligible repairs to melters and heated tanks may be completed at the customer's facility by the customer's own qualified electrician or technician using WaxMelters replacement components and instructions. Remote technician-to-technician assistance may be available when additional support is needed.

Troubleshoot Before Sending Equipment

Many equipment issues can be identified through the applicable troubleshooting guide, controller instructions, photos and basic component checks. Troubleshooting also helps determine whether a replacement component, remote technical assistance, or factory evaluation is the correct next step.

Repair by Your Qualified Technician

Many melter and heated-tank repairs can be performed at the customer's facility by the customer's own qualified electrician or technician.

Factory Repair of the Affected Module

Internal filling-system repair is normally performed at WaxMelters. Guided troubleshooting should be completed first so only the affected module is returned whenever possible.

Factory Equipment Evaluation

When the complete melter, tank, filling system or other equipment must be inspected at WaxMelters, complete an Evaluation Authorization before shipping.

  • Do not ship equipment before receiving the applicable authorization
  • Equipment must be emptied and drained
  • Customer is responsible for safe packaging
  • Repair work is quoted for approval before non-warranty work proceeds

Legacy Controls & Retrofit Options

Older controller, relay and electrical configurations may no longer use currently supported components. Depending on the model and year, WaxMelters may recommend a replacement component, updated control package or control-system retrofit.

Provide the model, serial number or order number and clear photos of the existing controls before ordering legacy electrical components.

Filling-System Factory Repair

Ship the Smallest Repairable Module Whenever Possible

A complete filling system does not normally need to be returned when troubleshooting has isolated the problem to one removable module. Returning only the affected module can reduce shipping cost, handling and downtime.

Module 1

Dispensing Head

Send the dispensing head when troubleshooting indicates that the problem is isolated to the dispensing or nozzle assembly.

Module 2

Heated Hose

Send the heated hose when the problem is isolated to hose heating, connectors or the hose assembly.

Module 3

Thermopump

Send the control-box and pump assembly when the problem involves pump operation, control power or the Thermopump assembly. Do not open or internally repair the filling-system control/pump assembly unless specifically instructed by WaxMelters.

Factory Evaluation Process

Before Shipping Anything to WaxMelters

  1. Complete the applicable troubleshooting process whenever possible.
  2. Identify the affected equipment or module, such as a melter, heated tank, dispensing head, heated hose or Thermopump.
  3. Submit the Evaluation Authorization request and obtain the applicable authorization or order number.
  4. Empty and drain the equipment or component and remove process material before packaging.
  5. Package the equipment safely and write the authorization number clearly on the outside of the package.
  6. Ship only after completing the applicable authorization process and receiving the required return instructions.
  7. WaxMelters evaluates the submitted equipment and provides the applicable repair estimate for approval before non-warranty repair work begins.

Evaluation, Cleaning, Parts & Labor

Evaluation fees, cleaning charges, replacement components, testing and repair labor depend on the equipment and work required. The applicable evaluation or repair charges are shown with the current repair item or provided as part of the service process.

Equipment should arrive emptied and drained. Material removal or cleaning required before safe evaluation may result in additional charges.

Warranty status is reviewed before paid repair work is authorized.
