Filling & Heated-Transfer System Manual & Troubleshooting
One guide for standard and EZ fillers, AutoShot and Pour X-Press automated systems, HVISC high-viscosity systems, and Quattro, Octo and Duodecim multi-nozzle production systems. Identify the system first, then follow the matching operating or troubleshooting path.
Stop using the unit if there is an immediate safety concern. Do not open any enclosure before contact WaxMelters
Read before setup or operation
Safety rules for every filling and transfer system
Only trained operators who have read the instructions for the exact system may use it. Wear heat-resistant gloves, safety glasses and protective clothing that covers exposed skin.
Install the melter and filling system level and securely on a stable structure that supports the full operating load. Multi-nozzle frames must be anchored and secured to the conveyor before use.
Keep the system at least 20 ft. from combustible material. Keep an appropriate fire extinguisher within reach and follow the material supplier's SDS, flashpoint and ventilation requirements.
Use only approved, nonhazardous material that is compatible with the equipment. Never use explosive, caustic or otherwise prohibited material.
Use the grounded, nameplate-matched power supply. Do not use an extension cord, power strip, surge protector or shared circuit.
Do not connect or disconnect electrical connectors while energized. Do not open the control box or touch wiring. Do not use a torch or heat gun on any component.
Never point a dispensing nozzle toward yourself or another person. Keep hands, clothing and containers clear of the nozzle, moving pump parts and automated motion.
Do not operate an AutoShot head, hose, pump or manifold while cold or with solid material in its path. Never run the pump dry.
Do not kink the heated hose. Maintain at least a 7 in. bend radius, support its weight and keep it away from sharp edges and traffic.
Do not leave energized equipment unattended or use an external timer to energize it. Turn it off, unplug it after use and allow it to cool completely before approved external cleaning or adjustment.
Record the following from the equipment, order record and controller face. These details determine the correct operating sequence, electrical supply, timer labels and controller instructions.

Multi-nozzle
Quattro / Octo / Duodecim
Production frame with multiple heated outlets, AutoShot heads, valves and optional conveyor sensor.
Inspect before assembly. Confirm all ordered modules are present and undamaged. Do not energize equipment with shipping damage, a crushed hose, damaged pin connector, loose control box or bent frame.
Stabilize the complete system. Level the melter and filler on a structure rated for the operating load. Bolt a Quattro, Octo or Duodecim frame to the floor/ground mounting points and secure it to the conveyor side rail.
Start with the source valve closed. The ball-valve handle should be perpendicular to the flow path before material is added or the filling path is connected.
Verify supplied mechanical connections. Confirm the pump-to-valve connection, locking pin, hose-to-pump connection and head-to-hose connection are fully seated in the supplied configuration. If threads, seals, pins or fittings do not align, stop and contact Support.
Connect external electrical plugs with power off. Align keyed pin connectors, seat them fully and secure them without twisting, forcing or cross-connecting. Keep all connector faces clean and dry.
Support the heated hose. Use the boom, balancer or hose hammock where supplied. Adjust support so the hose is not pulling on a fitting and never bends tighter than a 7 in. radius.
Confirm power. Match every nameplate to a dedicated grounded outlet and any approved transformer specified for the order. Do not use adapters, extensions, strips or a shared receptacle.
Document the cold setup. Before first heat, photograph the external pump, hose, head, connector and valve arrangement for the equipment record.
Do not improvise fittings or wiring. Installation beyond the supplied external connections, as well as permanent electrical work, anchoring design and conveyor integration, must be completed by appropriately qualified personnel.
Prepared melterSource valveHeated pumpHeated hose / manifoldWarm dispensing head
Begin cold and closed. Filling-system heat and pump are off. The source ball valve is closed. The nozzle is supported and aimed away from people.
Prepare the material in the melter. Melt and fully blend the material at the higher of its approved mixing or pouring temperature. Add color, fragrance or other approved ingredients before opening the filling path.
Preheat the filler with the pump off. Turn on the required filler heat zones only. Do not energize the pump while the path is cold and do not run it dry.
Allow the entire path to warm. For a clean path with no retained material, allow at least 30 minutes and up to 1 hour. If material is retained in the melter and filling path, allow 1 to 3 hours. Large manifolds may require additional lead time.
Set the operating temperature. As a starting point, the filler is generally set 10–15°F above the melter so it maintains flow through the smaller heated path. Never exceed the material supplier's safe range, the equipment nameplate/manual limit or written instructions for the exact order.
Verify every required heat zone. Confirm the displayed setpoint and process temperature, expected OUT/heat indication, and that the pump, hose, head and manifold zones required for this configuration have completed warmup.
Prepare a safe catch container. Position the warm nozzle over a stable, heat-safe container. Keep personnel clear and begin at the lowest practical production rate.
Start the fully heated pump, then open the source valve. Listen for smooth, normal pump rotation. Open only the valves needed for the active path. Stop immediately if the motor binds, a fitting leaks, the hose moves unexpectedly or material approaches controls.
Prime and confirm flow. Make a controlled test dispense. Small air pockets may require a few short, separated dispense cycles; do not hold the pump against a blocked path or chase air by opening hot components.
Verify the result before production. Check fill weight/volume, stream shape, shutoff, dripping and all active nozzles. Adjust only normal setpoint or timer values in small increments.
About “empty” preheating: The pump must never be operated dry. A clean, empty filling path may be heated with the pump off when the model instructions allow it. Do not leave an energized empty system unattended.
Complete the common startup sequence, then use this branch for an operator-controlled handle or trigger.
Confirm the material is ready, filler is fully preheated, pump rotation is smooth and the source ball valve is open.
Hold the dispensing head by its intended handle. Keep the hose supported and the nozzle centered over the container.
Squeeze or activate the manual control for a short test fill. Release it fully and observe shutoff.
Confirm a steady stream and acceptable fill weight before repeating. If flow is delayed, pulsing, stringing or dripping, use the slow / uneven / dripping checks.
Do not use the handle as a hose support. The hose must be carried by its boom/balancer or positioned so its weight does not twist the head or pump fittings.
Complete the common thermal-path warmup first. A cold AutoShot head must never be actuated, and solid material must not enter its valve or internal mechanism.
Confirm the actuation method. Identify whether the fill begins from a head toggle, timer, foot/control switch, photoelectric sensor or other supplied production input.
Match the timer face. Some generations present fill time first and off time second; others label SET1 as delay/off and SET2 as fill. Use the labels actually displayed and the matching video. Do not copy one generation's sequence to a different face.
Begin with a conservative fill time. Place a catch container under the head, run one cycle and weigh or measure the result. Change time in small increments.
Verify off/delay time. The delay must allow the filled container to clear and the next container to arrive before another cycle begins.
Test the production trigger. For an optical sensor, verify target alignment, reflector position, container spacing and that exactly one fill cycle occurs per container.
Observe several complete cycles. Confirm stable flow, repeatable shutoff and safe hose/head movement before increasing conveyor speed.
Timer labels are generation-specific. Do not assume SET1 or SET2 means the same thing on every controller. If the face does not match the operating video or order record, photograph the face and ask Support before programming it.
The HVISC family uses a different pump/head path from the standard filler. Follow the same melt, preheat, temperature-limit and safe-catch sequence, with these additional checks:
Confirm the unit is identified as HVISC on the order record or equipment label before using HVISC troubleshooting videos.
Allow the pump head, hose and dispensing head to reach operating temperature before starting the motor. Higher-viscosity material and retained material may require the full warmup period.
Verify the material is within its approved processing range and is fully homogeneous in the source tank. A hot hose cannot compensate for unmelted or unsuitable material at the pump inlet.
Start against an open, prepared flow path. Do not repeatedly energize a buzzing, stalled, rattling or severely binding motor.
Do not loosen the motor collar, pressure-release hardware or pump-head components as an operator troubleshooting step. Record the sound and symptom and route the module for factory evaluation.
HVISC symptoms need HVISC videos. Standard and HVISC systems can look similar from the operator position, but the pump and troubleshooting sequence are not interchangeable.
These systems belong in the same filling-system guide, but their multi-nozzle frame, manifold and conveyor controls require a separate operating branch. Verify the installed outlet count and valve layout from the order record.
Verify mechanical security. The frame is level, anchored at its base and secured to the conveyor side rail. The head rail is tight and cannot drop or rotate into containers.
Map each active path. Match every hose to its valve and dispensing head. Open only the hose valves being used; keep unused paths closed.
Preheat the manifold and all active zones. Keep the pump off. A large manifold can warm more slowly; the current manual allows a 20–30 minute manifold-only lead before the other heat zones, followed by the complete 30–60 minute or 1–3 hour system warmup.
Level and align the heads. Set each active nozzle to the same intended container position and height without pulling or sharply bending its hose.
Set timing from the actual timer face. Confirm fill and delay/off values in the displayed order. If an optical sensor is installed, verify its documented mode, reflector, target and container spacing.
Test into individual catch containers. Run one low-speed or manual cycle and review every active outlet before enabling normal conveyor operation.
Separate common from local symptoms. If all heads are wrong, check the source, pump, common temperature, manifold and sensor. If only one head differs, check that path's valve, hose, head temperature, alignment and obstruction indicators.
No-flow and poor-flow symptoms are often caused by one cold or restricted point between the prepared source and the outlet. Check the complete path without taking it apart:
Path location
External operator check
Stop / support trigger
Source tank
Material fully melted, blended and within approved temperature range
Unmelted solids, incompatible material or uncontrolled tank temperature
Source valve
Correct valve is open for operation; no external leak
Leak, damaged handle or valve will not move normally
Pump
Heat zone complete; motor sounds smooth after warmup
Buzzing, binding, severe vibration, repeated stall or leak
Hose / manifold
Required heat on; no tight bend, crushing, pull or cold ambient airflow
HHHH/error, visible damage, cool zone after full warmup or material near connector
Head / nozzle
Warm, aligned, securely supported and aimed into a catch container
Cold AutoShot head, uncontrolled drip, obstruction or unsafe motion
Do not isolate a blockage by hot disassembly. If the external checks do not restore safe flow, stop and let the system cool. The pump, hose, head and control-box modules should be evaluated by WaxMelters.
Identify the controller face and the heat zone it controls.
Use the normal up/down keys to change the operating setpoint, then allow the display to return to the process temperature.
Observe the expected OUT or heat indication during warmup. A lit output indicator does not prove that every downstream component is heating.
Use an independent, process-appropriate temperature check only where the material supplier and equipment procedure allow it; do not touch the hose, head or fittings to judge temperature.
When may an advanced setting be changed?
Only after the model/order, controller face and heat zone are matched and WaxMelters has provided the exact written or video procedure. Photograph the original displayed values before any authorized change.
If the face, button sequence or displayed parameter differs from the matched procedure, stop. Do not experiment with controller menus.

End the active cycle. Stop the conveyor/automation and release the dispensing trigger. Keep the nozzle over a safe container until flow has stopped.
Turn the pump off and close the source valve. Do not force a purge or run the pump dry. Follow the material-specific production plan for retained material.
Turn all heat zones off. Unplug the system after use and keep it attended until it is in a safe shutdown condition.
Let every component cool completely. Do not loosen fittings, electrical connectors, heads or hoses while hot.
Clean only approved external surfaces. Keep control faces, plugs, connectors and reset devices dry and free of material. Do not immerse or pressure-wash any module.
Inspect for the next run. Look for hose abrasion, a bend-set tighter than 7 in., loose support, damaged connector pins, material at a joint, nozzle damage or frame movement.
Record abnormal behavior. Save the material, temperatures, warmup time, fill result, displayed error and a safe photo/video before requesting support.
First identify standard or HVISC. Then use the matching written checks and video. Stop before any step that would require hot disassembly, live testing, opening a control box or touching wiring.
Try a symptom or part, such as fuse, HHHH, hose cold, no flow, dripping, pump buzz, timer or one nozzle.
Back to topFiller will not turn on / no powerNo display, no heat indication, or red power control remains offShow checks
Turn every function off and inspect the external cord, plug and receptacle. Stop for heat discoloration, melting, cuts, exposed conductors or material contamination.
Confirm the nameplate matches the dedicated grounded supply and that no extension, strip, adapter or shared load is being used.
Verify the receptacle operates using a safe, known-good method. Circuit problems must be evaluated by a qualified electrician.
With the filler unplugged and cool, confirm each supplied external pin connector is clean, dry, correctly aligned and fully seated. Do not open a connector body.
If the unit has a user-reset protective device and no damage is visible, allow it to cool and reset it once. If it trips again, stop and use the repeated trip branch.
Do not bypass a reset device or replace it with another rating. If the outlet is correct and the system remains dead, the control-box/pump module requires factory evaluation.
Blowing fuses or repeatedly trippingProtective device opens when power, heat, pump or a connected module is usedShow checks
A repeat trip is a stop-use condition. Do not keep resetting, substitute a different rating, bypass protection or disconnect modules one at a time while energized.
Record exactly when the trip occurs: at plug-in, heat-on, pump-on, head actuation or after a period of operation.
Confirm dedicated, grounded, nameplate-matched power with no extension, strip, adapter or shared circuit.
With power disconnected and the unit cool, inspect only the accessible cord, plug, switch faces and external connectors for damage, moisture, debris or material.
Photograph the nameplate, control face and all external connections. Include which heat zones and options were connected in the normal configuration.
Submit the result for factory evaluation. A qualified electrician should evaluate the facility circuit if receptacle, breaker, voltage or grounding is in question.
Heated hose not heating or display shows HHHHOne heat zone stays cold, the reading is implausible, or the controller shows HHHHShow checks
Identify the exact cold zone: pump, main hose, branch hose, manifold or dispensing head. Do not judge temperature by touching it.
Confirm the correct heat control is on, the setpoint is appropriate and sufficient warmup time has elapsed.
Note the process display and OUT/heat indication. Photograph HHHH or any other error before cycling power.
Turn all functions off, unplug and allow the system to cool. Inspect the matching external connector for alignment, bent/damaged pins, looseness, material or moisture. Do not open or repair the connector.
Check the hose for crushing, a bend tighter than 7 in., unsupported weight or pull at either fitting.
Persistent HHHH or a cold zone needs factory evaluation. Do not change sensor type, input offset, output mode or advanced parameters to make the error disappear.
Clogged or no material flowPump runs but nothing reaches the outlet, or flow stops completelyShow checks
Confirm the material in the source tank is fully melted, blended and within its approved processing range.
Confirm the source ball valve and every intended branch valve are open. Unused multi-nozzle valves should remain closed.
Confirm the pump, hose, head and manifold required for the path have completed warmup. Retained material may require 1–3 hours.
Verify the filler setpoint is generally 10–15°F above the melter while remaining within all material and equipment limits.
Remove cold-air exposure, support the hose and correct any external kink or bend tighter than 7 in. without loosening hot fittings.
Stop repeated pump attempts if the motor loads, stalls or sounds abnormal. Record whether the symptom began at startup or during production.
Do not clear a clog by hot disassembly, tools or compressed air. If full preheat and external path checks do not restore flow, turn the system off, let it cool and contact Support.
Dispensing slowly, unevenly or drippingWeak stream, pulsing flow, inconsistent fills, stringing or delayed shutoffShow checks
Confirm dedicated nameplate-matched power and remove any extension, strip or shared load.
Confirm the source material remains fully prepared at the approved temperature. If flow starts well and then degrades, the melter may be losing temperature or supplying unmelted material.
Verify full filler warmup and all required heat zones. Check the 10–15°F filler-above-melter starting rule without exceeding limits.
Check for cold ambient airflow, unsupported hose weight, kinks, a tight bend or a branch valve that is not fully in its intended operating position.
Run a few short, separated test dispenses into a safe catch container to release minor trapped air. Stop if the pump binds or the stream becomes unsafe.
Inspect externally for leakage and material at the nozzle shutoff. For multi-nozzle systems, review the affected path with a normal path.
Filling system is leakingMaterial appears at the source valve, pump, hose, manifold, head, fitting or near a connectorShow checks
Stop immediately. Turn off the pump and heat, close the source valve if it can be reached without exposure, and disconnect power only if safe. Keep people away from hot material and electrical components.
Do not tighten, loosen or disconnect a hot or energized joint.
After complete cooldown, identify the exact external leak location without opening the pump, hose, head or control box.
Photograph the connection, surrounding module and any visible seal/pin position. Record whether the leak appeared during warmup, pump start, dispensing or shutdown.
Do not return the unit to service until WaxMelters has evaluated the evidence and provided the correct repair or return instructions.
HVISC pump motor is seizing, binding or stalledMotor buzzes, struggles, stops, rattles or does not rotate normally after warmupShow checks
Turn the pump off immediately. Do not repeatedly energize a stalled motor.
Confirm the system is HVISC, the correct heat zones are on and the complete retained-material warmup time has elapsed.
Confirm the source is fully melted, the source and active path valves are open and the hose is not kinked or crushed.
Record the sound: no sound, hum/buzz, intermittent rotation, rattle or severe vibration. Record the displayed temperature and warmup time.
Turn off heat, unplug and let the unit cool for factory evaluation.
Do not loosen the motor collar or pressure-release hardware. These are not public operator adjustments. Pump-head, motor and control-box diagnosis belongs with WaxMelters factory service.
One multi-nozzle outlet fills differentlyOne Quattro, Octo or Duodecim path is slow, cold, dripping or misalignedShow checks
Stop automated production and place separate labeled catch containers under all active heads.
Confirm the affected branch valve is fully in the same intended operating position as the normal branches.
Review hose routing, minimum bend radius, support and pull at the head. Correct only external routing with the system stopped.
Review displayed/indicated heat status for the affected branch and head after the full warmup period.
Confirm all nozzles are at the same intended height and centered over equivalent containers.
Run one low-speed/manual test and document each fill weight. If the same path remains different, stop and submit the results.
Diagnosis shortcut: One bad outlet usually points to that branch's valve, hose, head, alignment or obstruction. Several/all bad outlets point to the common source, pump, manifold temperature, timing or sensor.
Controller error, implausible reading or no responseHHHH, unstable display, process temperature does not respond, or setpoint keys appear ineffectiveShow checks
Photograph the complete controller face, displayed code, setpoint, OUT indication and the heat-zone label.
Confirm the controller belongs to the affected pump, hose, manifold or head and that the normal setpoint was entered with the matching buttons.
Turn the system off if heating is uncontrolled, temperature is materially above setpoint or the reading is implausible.
With the unit unplugged and cool, inspect the matching external keyed connector for secure alignment, damage, moisture or material.
Do not change input type, calibration, high limit or output mode unless Support has matched the exact controller procedure. The filler output setting is RELAY, never an assumed SSR setting.
Changing advanced parameters can disable temperature control. If the matched reprogramming video does not show the same face and menu, stop and send a photo to Support.

Include enough information for WaxMelters to match the exact equipment and avoid repeating unsafe tests:
Model, serial number and order number for the melter and filling system
Electrical nameplate for each connected module
Standard, AutoShot, Pour X-Press, HVISC, Quattro, Octo or Duodecim identification
Material, supplier operating range, melter setpoint and filler setpoint
Warmup time and which heat zones were on
Controller face, displayed value/error and OUT/heat indication
Exact point in the sequence where the symptom appears
Safe external photos/video and the result of the exact written check or matching video
Factory-service modules: The filling-system control box/pump, heated hose and dispensing head are normally evaluated as compact modules. Do not open them or ship equipment until WaxMelters provides written return/packing authorization.
